Records Accuracy and Release

The Records Unit is the central point of contract for matters relating to the maintenance, release, dissemination, accuracy, and retention of criminal justice and fire records in compliance with local, state and federal laws. Requests include, but are not limited to, criminal history records, police or fire incident reports, medical records, accident reports, address activity reports, sex offender registration lists and a variety of requests.

Court Order Compliance

Staff in the Records Unit are responsible for department compliance with petitions and court orders to seal or expunge records. When a petition or order is received, personnel in Records notify the appropriate department personnel so that an objection to a petition can be brought to the attention of the court or, in the case of a court order, the steps can be taken to comply with the order and seal the record.

Uniform Crime Reports, National Incident Based Reports, and National Fire Information System Reports

Colorado Revised Statute 24-33.5-412(5) requires law enforcement agencies to provide information to the Colorado Bureau of Investigation (CBI) in the form of monthly Uniform Crime Reports 9UCR) using the National Incident Based Reporting (NIBRS) format. The Records Supervisor is responsible for ensuring that Longmont's UCR reports are complete, timely, and accurate. In addition, Fire Services incident records are submitted to the appropriate state agency for National Fire Information Reporting System (NFIRS).

Sex Offender Registration/Tracking/Compliance (Records Unit)

After initial sex offender registration paperwork has been completed by the Report Taker Unit, personnel assigned to the Records Unit are responsible for entering sex offenders into the Colorado Sex Offender Registry as required by law. The Records Unit insures that registrant information is updated or cleared when a registrant updates information or relocates outside the city limits of Longmont. The Records Unit supervisor is responsible for tracking sex offender registration fees when the registrant is unable to pay at the time of registration. If agreements to pay later are not honored, the unit supervisor sends billing information to Accounts Receivable. Registrants pay registration and re-registration fees.

Colorado Crime Information and National Crime Information Center Records

The Colorado Crime Information Center (CCIC) and the National Crime Information Center (NCIC), as set up by the Colorado Bureau of Investigation (CBI) and Federal Bureau of Investigation (FBI), are computerized indexes of criminal justice information concerning crimes, persons, vehicles and property of interest on a statewide and nationwide basis. Records personnel are advanced level users of these computer systems and insure that Longmont criminal justice information is entered, verified, updated, and canceled in compliance with CBI and FBI policies and procedures.
