Pre-Approved Vendor List
The City currently keeps a database of vendors who already have active or past purchase orders or contracts with us. We do not register potential vendors directly in our system unless we have done business with you before, but we are changing that a little. Below you can apply to be a pre-approved vendor with the City under one of our accepting application categories.

Currently Accepting Applications For:
For light commercial maintenance, repair, and minor improvement work at a variety of City of Longmont facilities. Services are intended to address routine requests, minor repairs, and small improvement projects that do not require specialized licensed trades unless otherwise noted.
Scope of Work
Handyman services may include, but are not limited to, the following tasks:
General Repairs
- Minor drywall repair including patching, sanding, and preparation for painting
- Cabinet and shelving repairs or installation
- Minor carpentry repairs
Fixture Removal and Installation
- Removal and installation of wall-mounted items (TV mounts, signage, whiteboards, shelving, etc.)
Interior Maintenance
- Caulking and sealing around fixtures, windows, or baseboards
- Minor painting and touch-ups
- Weatherstripping installation or replacement
- Adjustment or repair of interior handrails
Exterior Maintenance
- Minor exterior repairs to siding, trim, or fixtures
- Repair or replacement of small exterior hardware and handrails
Miscellaneous Tasks
- Assembly and installation of office furniture or equipment
- Light moving
- General troubleshooting of small facility maintenance issues
Limitations
Handyman services are limited to minor repairs and maintenance tasks. The following items are excluded unless specifically authorized:
- Plumbing work requiring a licensed plumber
- All electrical work
- Structural modifications
- Roofing repairs or replacement
- HVAC system repairs requiring licensed contractors
- Any work requiring engineering or City building permits
If such work is identified, the City will be notified and referred to the appropriate licensed contractor.
Materials required for repairs or installations may be:
- Supplied by the City, or
- Procured by the Handyman and billed to the City at cost plus contracted markup.
Safety and Work Hours
Work will be performed in accordance with current safety standards. Whenever possible, work will be scheduled to minimize disruption to normal business operations, Monday – Friday, 7:00am – 5:00pm.
Background checks for working in secured or sensitive facilities and areas of the City may be required.
For turnkey commercial glazing services on an on-call, as-needed basis for City-owned facilities. Service provider must be able to perform a variety of glazing-related services including, but not limited to, the following:
Scope of Work
Fabrication and installation of new or replacement storefront glass systems and panels.
Removal, repair, replacement, and installation of glass in windows, doors, sidelights, curtain wall systems, mirrors, and other glazing assemblies.
Skylight repair and replacement services at various City facilities, including the Civic Center.
Furnishing and installation of a variety of glazing products including, but not limited to:

- Laminated glass
- Tempered glass
- Insulated glass units (IGUs)
- Tinted or coated glass
- Safety glass
- Plexiglass/acrylic panels
- Lexan/polycarbonate panels
- Other specialty glazing materials as requested
Installation and repair work involving wood, steel, aluminum, and other framing systems. Service provider may be required to modify, repair, or reinforce existing framing systems as necessary to complete the work.
During repair or replacement activities, the contractor shall furnish and install City-standard associated door and storefront hardware as required, including but not limited to:

- Locks and latches
- Panic hardware
- Hinges and pivot assemblies
- Door closers
- Operators and automatic door components
Hardware must comply with the City’s current Specification Guide, available upon request.
Service provider:

- will protect adjacent finishes, furnishings, equipment, and occupied areas during all work activities. Any damage caused by the contractor shall be repaired at no additional cost to the City.
- will remove and properly dispose of all waste materials, packaging, broken glass, debris, and related materials generated by the work. Disposal in City-owned dumpsters is prohibited unless specifically authorized by the City.
- will secure all openings at the conclusion of each workday or immediately following emergency repairs to maintain building security and weather protection.
- Additional glazing-related services may be requested by the City on an as-needed basis, including emergency response work, temporary board-up services, custom fabrication, specialty glazing systems, and related repairs etc.
Service Expectations
Service provider:

- will respond to standard service requests within forty-eight (48) business hours of notification.
- will respond to emergency service calls within four (4) hours of notification. Emergency work may include broken storefront glass, unsafe glazing conditions, vandalism, weather-related damage, or security-related repairs.
- will coordinate all work with the City’s designated project manager or facility representative prior to commencing work.
- will be responsible for the professional quality, technical accuracy, completeness, and coordination of all services performed under this contract.
- will perform all work by qualified personnel experienced in commercial glazing installation and repair.
- will comply with all applicable federal, state, and local laws, regulations, codes, standards, and safety requirements, including OSHA requirements.
- will maintain a clean, safe, and secure work site at all times and shall minimize disruption to City operations and building occupants.Work may occur in occupied facilities.
- will coordinate scheduling with the City and may be required to perform work outside normal business hours.
- will provide all labor, supervision, materials, equipment, tools, transportation, permits, disposal, and incidentals necessary to complete the requested work. All supplies and services not specifically mentioned but necessary to provide the required services shall be included in the quoted pricing at the time work is requested. No additional fees, surcharges, trip charges, mobilization charges, fuel charges, environmental fees, or other incidental costs will be allowed unless specifically approved in writing by the City.
Scope of Work
Contractor may be requested to perform a variety of turnkey general and specialty plumbing work including, but not limited to, the following:
- Repair, replacement, and new installation of various piping methods, fixture types, pumping systems, tanks for hot water or storage systems, and the associated controls for these systems.
- Plumbing inside underground vaults, including the installation and testing of backflow assemblies.
- Suggested code requirement changes and associated cost, as needed.
- Only copper and solder are permitted for repairs and installations. SharkBite, Propress and PEX fittings shall not be used.
Service Expectations
Service provider:
- will assign to City projects personnel that are licensed to work in Colorado and direct on-site supervision shall be by a licensed plumber.
- will have personnel experienced in soldering.
- will follow the City of Longmont Design Standards Parks Section 600 for exterior repairs and installations.
- will respond to standard service requests within forty-eight (48) business hours of notification.
- will respond to emergency service calls within four (4) hours of notification.
- will coordinate all work with the City’s designated project manager or facility representative prior to commencing work.
- will be responsible for the professional quality, technical accuracy, completeness, and coordination of all services performed.
- will comply with all applicable federal, state, and local laws, regulations, codes, standards, and safety requirements, including OSHA requirements.
- will maintain a clean, safe, and secure work site at all times and shall minimize disruption to City operations and building occupants.

- Additional plumbing-related services may be requested by the City on an as-needed basis, including emergency response work.
- Depending on the scope and urgency of the work, the City may request:
- A written proposal
- A not-to-exceed cost estimate
- A budgetary estimate
- Time-and-materials pricing based on agreed hourly rates
- Although the City will attempt to provide reasonable advance notice whenever possible, certain situations may require immediate response and expedited service.
- The City reserves the right to obtain quotes from multiple qualified contractors for individual projects or tasks under this agreement.
For full-service plumbing services for repair, maintenance, and new application on an on-call, as-needed basis for City-owned facilities. Contractor(s) must have a master plumbing license issued by the State of Colorado.
