The Longmont Museum offers the Stewart Auditorium, the Swan Atrium, the Kaiser C Classroom and the Stewart Family Courtyard as rental spaces.

Rental Hours & After Hours Fee

Regular museum hours are from 9 am – 5 pm Monday – Saturday, 1 pm – 5pm on Sunday. The museum rental spaces are available from 7:30 am-10:30 pm. There is an After Hours Fee of $175 for any rentals extending beyond our regular museum hours.

Museum rental spaces can be rented by individuals, community groups, nonprofits or local businesses, with discounted rates for 501(c)3 non-profit organizations.

  • The Museum does not accept applications more than one year in advance and is unable to accommodate any regular recurring weekly or monthly meeting.
  • The Rental Space Application Form must be received by the 15th day in the month prior to the month of the rental.
  • Applications are considered on a space available, first-come, first-served basis.

We will respond to requests via email within 5 business days and will connect to clarify any questions and provide you with a cost estimate. We do not place dates on hold, If you would like to proceed with a rental, we will draft a rental agreement and send it to you.

Security and Damage Deposit

The Security and Damage deposit is due upon signing the rental agreement. The signed agreement along with the paid deposit confirms your rental date and use of the space. The deposit will be returned within fifteen (15) business days following the event, unless there was significant damage. If any damage has occurred, it will be discussed with you prior to applying any charges.

A signed rental agreement in no way constitutes endorsement of an organization or its mission by the Longmont Museum or the City of Longmont.

As we are a Museum, any live animals, insects or soil need prior approval with specific arrangements.

  • The Museum does not allow smoking or any open flames during any event. Electric or battery-operated candles are recommended.
  • Access is limited to the spaces specified in the rental agreement, which includes the use of the catering kitchen and the bathrooms. Museum exhibit spaces and other rooms are not included, unless specified in your agreement.

Payments

The rental payment is due not less than thirty(30) days before the event start date. The Museum accepts all major credit cards, cash, or checks made payable to “Longmont Museum”.

Cancellation Policy

If the notification to cancel the rental is more than 30 calendar days from scheduled event, the Museum will fully refund the Security Deposit and any rental payment. If the cancellation is less than 30 calendar days from event any rental payment will be forfeited, and the Security Deposit will be refunded.

Bar and Concessions

The museum holds a liquor license and also offers some concessions. We do not offer any other food service.

The museum’s small catering kitchen is offered at no additional charge to your caterer, if needed.  The kitchen is  not equipped to support on-premises cooking. To ensure proper food temperature, chafing dishes, Sterno warmers, and electric warming dishes are allowed.

Any food delivery needs to arrive within the set-up time stated in the agreement. If food or other deliveries need to arrive before the set-up time of your rental agreement, this will need prior approval by museum staff.

The caterer, along with the rental client, is responsible to take out everything they brought in, and to clean-up all areas used for food preparation and service. This includes taking trash bags to the museum’s dumpster.

Alcohol

The Museum has a liquor license and can offer alcohol service, including wine, beer and liquor. Our license requires that only the Museum’s TIPS-certified bartenders sell, service and distribute alcoholic drinks. The Museum’s bartenders reserve the right to refuse service to anyone.

Alcohol needs to be consumed on Museum property, not in the Museum parking lot or taken outdoors. You may consume alcohol in the museum’s Courtyard if it is included in your rental agreement.

No outside alcoholic beverages are permitted in any Museum space, including the dressing rooms. In some cases, nonprofit organizations may arrange to have alcohol donated for their event, however, to comply with our liquor license, specific arrangements need to be arranged well in advance of your event.

Client Representative

For larger celebrations, like wedding receptions or fundraising events, the Museum encourages hiring or appointing an event coordinator, or client representative, to manage the details of planning and executing your event. A few days before the event, the representative, along with the caterer and others hosting the event, will attend a walk-through with Museum staff to finalize details, such as set-up of the space, event schedule, and any technical questions.

On the day of the event, the client representative will work with the Museum’s building supervisor, and the caterer to manage the flow of the event. The representative will be the point-person for any questions that arise during the celebration, and will remain available to help direct the clean-up and closing of the event.
